Facilities Supervisor | In-Office Opportunity - Henderson, NV
Position Summary
The Facilities Supervisor ensures that EMPLOYERS' facilities provide an efficient, safe, and secure environment for employees and visitors. This role supports facility lease administration, tenant improvements, and serves as a day-to-day liaison between EMPLOYERS and landlords. The Facilities Supervisor manages vendor-provided services, related contracts and agreements, and provides project coordination support for office relocations, space planning, and reorganizations. This role is responsible for contributing to facilities budget monitoring, maintaining compliance with applicable regulations, and supporting EMPLOYERS' commitment to operational excellence-including the integration of technology and AI-enabled tools to improve facilities workflows and reporting.
Responsibilities
Leasing & Real Estate
- Support all phases of office development including site coordination, lease administration, space planning with internal customers, and move-in logistics; make recommendations to leadership on facility decisions.
- Serve as day-to-day liaison between EMPLOYERS and landlords; coordinate tenant improvement projects and escalate issues as appropriate.
Facilities Operations & Maintenance
- Ensure all facilities are maintained in safe, secure, and acceptable operating condition through routine inspections and proactive issue identification.
- Manage and prioritize work orders using the company's internal ticketing system; ensure timely completion and accurate documentation of maintenance requests.
- Coordinate and oversee preventive maintenance programs across all facility systems including HVAC, electrical, plumbing, and mechanical.
- Respond to facility-related emergencies; maintain on-call availability as needed to address urgent facility or security issues.
Vendor & Contractor Management
- Manage administrative duties including vendor and contractor coordination across a range of facility disciplines.
- Negotiate and administer vendor service contracts; monitor contractor performance and ensure compliance with insurance, safety, and quality standards.
Project Coordination
- Coordinate facilities-related projects including monitoring timelines, summarizing progress for management, facilitating project meetings, and collaborating with cross-functional partners such as IT, Legal, vendors, and business contacts.
- Support the space planning process by gathering requirements, conducting site visits and workflow analysis, maintaining specification documents, communicating with project stakeholders, and facilitating walkthroughs.
- Coordinate department space planning needs-including office relocations and reorganizations-while supporting the organization's long-range real estate strategy.
Safety & Compliance
- Implement and maintain safety standards to ensure compliance with OSHA regulations; proactively identify and address health and safety risks across all facility locations.
- Ensure all current and future office sites comply with applicable federal, state, and local regulations (e.g., MSDS, building codes, fire safety).
Technology & AI Integration
- Leverage AI-enabled tools and digital workflows to improve facilities operations, including work order management, vendor tracking, space utilization reporting, and project documentation.
- Participate in EMPLOYERS' AI adoption initiatives; identify opportunities to apply emerging tools within the facilities and real estate function to increase efficiency and accuracy.
Budget & Reporting
- Contribute to Real Estate & Facilities budget preparation and monitor expenses against approved budgets; escalate variances to leadership.
- Provide regular progress reports to Corporate Services and company leadership on facilities operations, projects, and compliance status.
General
- Communicate proactively with management in the event of any facility or business disruption.
- Participate as a collaborative team member by working closely with co-workers and supporting group decisions and company goals.
- Perform other duties as assigned or as the situation dictates.
Requirements
Education & Experience
- Associate's degree in Facilities Management, Construction Management, or a related field; or a minimum of 5 years of relevant experience in facilities, real estate, construction, or a related field.
- Sound project management skills with demonstrated ability to take a facilities project from conception to completion.
Technical Knowledge & Skills
- Ability to read blueprints and interpret facility specifications.
- Ability to troubleshoot facilities-related problems and direct vendors and internal staff toward resolution.
- Experience managing vendor contracts and overseeing contractor performance.
- Working knowledge of modular office furnishing systems, HVAC, electrical, mechanical, plumbing, and cabling.
- Working knowledge of AutoCAD (preferred).
- Proficiency in Microsoft Office suite (Word, Excel, Outlook, Teams).
- Comfort using digital tools and technology platforms; openness to adopting AI-enabled tools to support facilities workflows and reporting.
Interpersonal & Leadership Skills
- Strong interpersonal skills with the ability to communicate effectively across all levels of the organization, including senior management.
- Ability to manage multiple priorities simultaneously, meet deadlines, and adapt in a fast-paced environment.
Other
- Current, valid driver's license required.
Work Environment
This position is required to be in-office full time with minimal travel to other office locations/meeting locations occasionally. This role potentially and will routinely use office equipment such as computers, phones, printers, and web conferencing technology as examples.
- This is largely a sedentary role; however, some mobility is required
- May work early, late, or occasional weekend hours to accommodate business needs
- Occasional lifting of a maximum of 30lbs.
