Why This Role Is Important
As the go-to Event Coordinator overseeing the Rosewood Commons Conference Center, you will use your talents to create amazing gatherings, in addition to lending back-up support to the property management team.
As an appreciated member of Swifts Pleasanton property management team, you will use your event coordination expertise and general office support talents to handle the following responsibilities:
Essential Duties & Responsibilities
Event Coordinator Responsibilities:
1.Respond to Conference Center inquiries, typically by phone and/or email.
2.Schedule facility tours, record and manage event dates for the Conference Center and its meeting rooms.
3.Coordinate and oversee event set-up activities, including janitorial services, security services, seating arrangements and catering with the onsite cafe.
4.Prepare correspondence, including email, mass marketing information and brochures, in addition to other related materials to promote the Conference Center.
5.Create and maintain the Conference Center database to include client, vendor and miscellaneous contacts. Follow-up with marketing materials and post-event evaluations.
6.Assist in marketing the Conference Center to corporate clients and other identified marketing groups such as members of professional organizations and non-profits.
7.Collect and compile statistics and data received from users, in addition to assembling and summarizing monthly information as needed.
8.Track event revenue and report monthly to the GM.
9.Order and maintain Conference Center supplies. Rent needed equipment, as necessary. Maintain and update the Conference Center rental equipment.
10.Assist in billing and collections activities for Conference Center users.
11.Coordinate and oversee tenant events
12.Working closely with the property management team, assist with preparing the Conference Center budget, outlining income and expense projections for the Conference Center.
Property Administrator responsibilities:
1.Provide back-up support to the full-time Property Administrator for miscellaneous overflow tasks, including coverage during vacations and sick leave.
2.Back-up support as needed with processing invoices, billing, and distribution of tenant charges in compliance with the lease agreement.
3.Order office supplies
4.Ensure office equipment is maintained and operating properly.
5.Process building and tenant maintenance service requests.
6.Maintain various property management office documents files such as lease agreements, accounting and construction files.
7.Using your stellar people skills, maintain and enhance tenant relationships; support the property management team with developing the tenant retention program; oversee and manage tenant-related requests in the service work-order database system; response to and proactively resolve tenant issues and/or concerns; organize and manage tenant-appreciation events.
8.Back-up support to the property management team to include periodically assisting with overseeing building maintenance activities such as janitorial, landscaping, and exterminating services to ensure work is completed properly, in a timely fashion, and within the building standards. within building standards.
The Ideal Candidate Will Possess The Following
The ideal candidate will have a minimum of 3-years of Event coordinating/management experience, in addition to a minimum of 2 years of office administrative support experience, in a highly professional environment.
You exude a high level of professionalism and genuine warmth.
Strong proficiency in MS Office Suite.
Excellent oral and written communication skills.
Outstanding customer service and people skills known for being grace under fire.
The ability to work well under tight and conflicting deadlines with the ability to multi-task.
Excellent problem-solving skills, a highly motivated self-starter who loves to serve.
Bachelors degree and commercial office real estate experience a plus.
This position is in-office in the Pleasanton property management office, with business hours, typically from 8:30 a.m. 5 p.m., 24 hours per week.

In addition to receiving 5-days PTO per year and earning 1 hour of sick leave for every 30 hours of work, you will be eligible to participate in Swifts 401(k) plan that offers a dollar-for-dollar matching up to your 4% contribution, in addition to receiving 13-holidays per year, along with a Community Service Day and Floating Holiday.
Compensation Range
Swift is offering an hourly rate of $32 - $35/hour for this position.
