Job Summary
We are seeking a highly organized and proactive Property Manager/Admin Assistant for a temporary-perm opportunity in Orlando, FL. This role is ideal for a detail-oriented operations professional with experience in property management, vendor coordination, administrative support, and QuickBooks.
As the Property Manager/Admin Assistant, you will oversee the day-to-day maintenance and operations of multiple residential and commercial properties while also supporting administrative and bookkeeping functions for a busy professional office environment. This is a hands-on position with direct access to ownership, supportive leadership, and the opportunity to make a meaningful impact by keeping properties, vendors, projects, and office operations running smoothly.

Key Responsibilities
- Oversee maintenance and daily operations for multiple residential and commercial properties.
- Coordinate a network of approximately 20 to 25 subcontractors, including painters, handymen, plumbers, electricians, landscapers, and other service providers.
- Schedule repairs, maintenance, inspections, vendor services, and property visits while monitoring timelines, quality, and budgets.
- Obtain quotes, negotiate pricing, manage vendor relationships, and follow up on open work orders.
- Support law firm administrative operations, including invoice processing, expense reconciliation, financial recordkeeping, and file management.
- Use QuickBooks to assist with accounts, payments, reporting, and organized bookkeeping processes.
Compensation and Benefits

Required Qualifications and Skills
- Manage property maintenance, repairs, inspections, vendor schedules, and ongoing operational needs.
- Coordinate subcontractors and service providers to ensure work is completed accurately, on time, and within budget.
- Support administrative operations, bookkeeping tasks, invoice processing, and financial recordkeeping.
- Maintain accurate records for repairs, contracts, maintenance schedules, vendors, payments, and office files.
- 3 to 5 years of relevant experience in property management, facilities management, operations coordination, administrative support, or a related field.
- Strong working knowledge of QuickBooks is required.
- Proficiency with Microsoft Office, including Word, Excel, and Outlook.
- Experience managing vendors, subcontractors, work orders, quotes, and service schedules.
- Strong organizational, multitasking, and follow-up skills.
- Excellent problem-solving ability with strong attention to detail.
- Ability to work independently, prioritize competing deadlines, and make sound decisions with minimal supervision.
- Professional communication and interpersonal skills for working with ownership, office staff, vendors, and contractors.
- Reliable, self-motivated, resourceful, and comfortable in a fast-paced environment with changing priorities.
Preferred Qualifications
- Bilingual English/Spanish skills are highly preferred.
- Prior experience coordinating subcontractors whose primary language is not English.
- Experience supporting a law firm, professional services office, or privately owned real estate portfolio.
- Hands-on property operations experience across both residential and commercial properties.
