Specific Requirements
Experienced Real Estate Broker looking for a full-time Office Administrator. Hours are Monday-Friday from 9 AM to 5 PM.
Applicants must be able to work on real estate databases (will train), edit/type documents, and work well in a team setting as well as independently. Property managements duties include good communication with clients, lenders, other agents, title companies, etc. We are looking for applicants who are dedicated to working in a support role.
Job Duties and Responsibilities
The role of the Office Administrator includes the following:
Maintain files (administrative and real estate specific)
Get training on the necessary platforms to efficiently complete projects
Maintain the Agent Directory (contact information)
Maintain login sheet for all internet-based accounts
Schedule a weekly meeting with Broker/Owner to discuss upcoming projects, resources needed, and the deadline
Maintain company calendar
Agent Support and Outreach. Prepare listing flyers and promote on all social media platforms
Social media- Review all platforms daily for engagement or comments
Answer incoming calls and redirect to staff or voicemail
Check company voicemails and redirect to staff
Check emails and redirect (if applicable)
Open the office | Close the office (shut down specified items as instructed)
Check copier and printers for maintenance messaging and replenish paper
Check conference rooms, bathroom(s) and kitchen for supplies
Report maintenance issues to the appropriate technician(s)
Greet incoming guests and direct them to the conference room
Salary is commensurate with experience.
Qualifications
MUST HAVE REAL ESTATE EXPERIENCE
Must be able to manage broker mail, inter-office correspondence, email accounts and voicemails, responding as appropriate on behalf of the broker
Must be proficient in Microsoft Office Suite
Must have strong problem-solving skills
Must be a self-starter and self-motivator
Must possess a professional demeanor and attitude
Must be customer service oriented with great people skills
Must be punctual and reliable
Must strive for accuracy; Enter and analyze data; identifying discrepancies or missing data
Must be able to type 40 WPM
Proficiency at multi-tasking
Polished communications skills- both verbal and written
Great planning and organizational skills including the ability to maintain hard copy and electronic filing systems efficiently
Previous property management experience helpful
The ability to prioritize tasks when necessary
Able to create and maintain marketing materials including data sheets, mailing lists, flyers, postcards, and marketing summaries
Some marketing skills preferred
Team Player
Maintain professional licenses, professional corporations, and notaries for brokers. Keep them apprised of expiration dates and ensure they are aware of CE Hours needed to maintain RE licenses. File all necessary documentation with the State to keep all licenses current.
Must Haves
High school diploma
Associate Degree or bachelors degree preferred
Experience in Real Estate and/or property management, office management, public relations, clerical administrative assistant, or equivalent for least 2 years
